A manual operation that couldn't scale

Rural insurance distribution ran as a paper-heavy operation, and the costs were real. Outlets collected customer documents physically and routed them to vendors by hand, with approvals taking weeks and renewals repeating the same cycle from scratch.

Outlet earnings were reconciled by hand each month across thousands of transactions. There was no real-time visibility into document status, application progress, or outlet account health.

Utility bill payments — added later as a secondary service — depended entirely on cash handling and paper receipts, with no auditable trail. The lack of automation wasn't just slow; it capped how many outlets the business could realistically support.

A multi-tenant portal that brought the entire operation online

Outlets register and go through a verification step before they're allowed to transact. When a customer applies for health or property insurance, the outlet uploads documents directly into the portal. Support staff review and verify each submission before it's pushed to the relevant insurance vendor — three vendors are integrated into the system.

Once approved, the certificate is generated instantly, and an SMS goes out automatically on key events — approval, payment received, and similar milestones — keeping customers and outlets informed without anyone having to call or check in. Renewals follow the same path.

Underneath, the portal tracks every step, so support staff can pull up any outlet's account, any application's status, or any transaction's history in real time, instead of chasing paperwork. What used to be a manual month-end scramble to work out outlet earnings is now consolidated and generated automatically.

A second service, running on the same rails

Utility bill payments sit alongside insurance as a separate service. Outlets collect payment from customers and settle bills through the portal's own integrated payment gateway, replacing the old cash-and-receipt arrangement with a fully auditable digital trail.
